A prominent State Government organisation is seeking a dedicated and organized Administrative Support Officer to join their Operational Communications division in Ballarat. This is a vital role ensuring our frontline emergency teams have the administrative backbone they need to serve the Victorian community every day.

The Role at a Glance

  • Location: Ballarat VIC
  • Duration: ASAP start, with an initial booking until 05/06/2026 (strong potential for extension)
  • Rate: $53.13 per hour + super.
  • Schedule: Average 28-hour week on a rotating roster (3-on/3-off or 4-on/4-off), including weekends, public holidays, and late-night finishes. Start times vary between 6:30 am and 4:00 pm.

What You Will Do

Working within our high-pressure communications centre, you will provide effective administrative and secretarial support to staff and management. Key responsibilities include:
  • Operational Coordination: Manage the timing and location of operational crew meal breaks in CAD to ensure response capacity remains high.
  • Communication: Act as the initial point of contact by screening radio calls from vehicles and handling routine phone enquiries from the public and staff.
  • Data & Reporting: Accurately enter real-time information into the CAD system, log equipment failures, and generate daily resourcing reports.
  • Office Support: Maintain administrative systems, manage internal/external mail, and assist Duty Managers with the recall of staff to duty.

Skills & Experience:
  • High-Level Admin: Significant experience in providing administrative support and maintaining office systems.
  • Technical Proficiency: Strong computer skills, including Microsoft Office (Word, Excel, Teams, Outlook).
  • CAD Experience: Previous experience using or accessing information on CAD systems is highly desirable.
  • Attention to Detail: Excellent thoroughness and the ability to retain/recall important information under pressure.
  • Communication: Strong customer service skills and the ability to handle confidential or sensitive matters with judgment.
  • Geographic Knowledge: A good working knowledge of Victorian town locations.

Requirements & Probity

  • Eligibility: Must be an Australian Citizen, Permanent Resident, or hold a valid work permit.
  • Flexibility: Ability to work a rotating shift pattern, including mornings, afternoons, and nights.
  • Checks: The successful candidate must provide two professional references and undergo a National Police Check (conducted within the last 3 months) - Paid for by Randstad.
